This is a full-time, fully remote position, offering the opportunity to support a prestigious firm known for its quality workmanship in the commercial, retail, and healthcare sectors. The successful candidate will play a crucial role in coordinating the schedules of our key personnel, ensuring seamless communication and operational efficiency across various high-value projects.
Responsibilities
* Manage and coordinate complex schedules for project managers, senior leadership, and sales teams.
* Act as the primary point of contact for scheduling meetings, client consultations, and site visits.
* Proactively resolve scheduling conflicts and prioritise appointments based on urgency and importance.
* Communicate appointment details clearly and professionally to all relevant internal and external stakeholders.
* Maintain an accurate and up-to-date scheduling system and client database.
* Prepare and distribute necessary documentation, such as agendas or briefing notes, ahead of scheduled meetings.
* Provide general administrative support to ensure the smooth running of daily operations.
Qualifications
* Proven experience in an appointment scheduling, virtual assistant, or administrative coordination role.
* Exceptional organisational and time-management skills, with a proven ability to manage multiple priorities.
* Excellent written and verbal communication skills in English.
* High proficiency with calendar management tools and the Microsoft Office Suite (Outlook, Word, Excel).
* Meticulous attention to detail and a commitment to accuracy.
* A self-motivated individual capable of working independently in a remote setting.
* Experience within the construction industry is highly desirable but not essential.
