Job Summary
The Bid Manager is responsible for leading and managing
Unified Microsystems' bid, tender, proposal, and presales function, serving as
the single point of accountability for all RFPs, RFQs, tenders, and client
proposals.
This is a hands-on leadership role where the successful
candidate is expected to lead the pre-sales function while remaining actively
involved in the delivery of strategic, high-value, complex, or
business-critical opportunities. The Bid Manager will work closely with Sales,
Projects, Operations, Procurement, and Finance to deliver high-quality, commercially
competitive proposals while protecting company profitability and continuously
improving bid quality, governance, and win rates.
Key Responsibilities
- Own and manage the complete bid, tender, proposal, and presales lifecycle, acting as the single point of accountability for all RFPs, RFQs, tenders, bids, and proposals.
- Lead Bid/No-Bid assessments by evaluating commercial viability, technical capability, resource availability, strategic alignment, probability of success, and overall business risk.
- Personally lead and contribute to the preparation of strategic, high-value, complex, or business-critical bids, remaining actively involved in solution design, proposal writing, commercial reviews, pricing, client presentations, and negotiations where required.
- Review tender documentation, scope of work, specifications, contractual requirements, and submission criteria to ensure all proposals are accurate, compliant, commercially competitive, professionally presented, and submitted on time.
- Collaborate with Sales, Projects, Operations, Procurement, Finance, and Management to develop aligned technical solutions, project delivery methodologies, pricing, commercial terms, resource plans, and project assumptions.
- Identify and communicate commercial, contractual, technical, operational, and delivery risks, assumptions, exclusions, opportunities, and resource constraints, recommending mitigation strategies while protecting company profitability and margins.
- Allocate, coordinate, mentor, and actively support the presales team, providing technical and commercial guidance while contributing directly to proposal delivery during periods of high workload, resource constraints, or specialist requirements.
- Review, challenge, and approve technical and commercial submissions, ensuring all proposals meet company quality standards, client requirements, and internal approval processes prior to submission.
- Support the Sales team during client presentations, tender interviews, clarification meetings, negotiations, post-submission discussions, and solution workshops where required.
- Develop, maintain, and continuously improve proposal templates, company profiles, project references, case studies, methodologies, technical write-ups, compliance documentation, CVs, pricing support documents, and standard response libraries to improve consistency and reduce bid turnaround time.
- Establish, maintain, and continuously improve bid governance, approval workflows, review checkpoints, submission controls, and knowledge management processes to ensure consistency, compliance, and quality across all submissions.
- Conduct post-submission and post-award reviews, analyze bid performance and win/loss trends, capture lessons learned, and implement improvements that increase proposal quality, efficiency, competitiveness, and overall win rates.
- Define, monitor, and report bid and presales KPIs including bid pipeline, submission performance, turnaround time, win rate, proposal quality, margin protection, resource utilization, stakeholder satisfaction, and continuous improvement initiatives.
- Coordinate internal contributors, assign workloads, enforce bid timelines, escalate risks, require revisions where necessary, and ensure the successful delivery of all assigned bids and proposals.
- Build strong working relationships with clients, consultants, contractors, vendors, strategic partners, and tender authorities to support successful bid outcomes and strengthen Unified Microsystems' market position.
- Perform any other duties reasonably assigned by Management in support of the company's sales, presales, commercial, and business objectives.
RequirementsRequired Qualifications
- Bachelor's degree in Business, Engineering, Information Technology, Marketing, Communications, or a related field.
- Minimum of five (5) years' experience in bid management, proposal management, presales, commercial support, tender management, or a related role.
- Previous experience leading or mentoring a presales or bid team is preferred.
- Experience within ICT, Systems Integration, ELV, AV, Security, Infrastructure, Managed Services, Construction, Fit-Out, or related industries is highly desirable.
- Strong understanding of RFP, RFQ, tender, and proposal management processes.
