Job Responsibility:


  • Support post-award contract kick-off meetings, including preparation of agendas, coordination of attendees, issuance of minutes of meeting, and tracking of contractual actions.


  • Assist with preparation, control, distribution, and filing of conformed Contract Documents reflecting the Notice of Award.


  • Track, review, and administer securities, bank guarantees, bonds, and insurance certificates; coordinate with Finance for originals and maintain contract records .


  • Maintain registers and trackers for schedules, contractor deliverables, baseline programmes, and key contractual dates, support compliance reviews of Project Execution Plans and sub-plans.


  • Coordinate subcontractor approval submissions, compile supporting documentation, and track Employer approvals prior to subcontractor engagement.


  • Maintain Technical Query (TQ) registers, log Contractor queries, coordinate responses, and support controlled issue of information to avoid unintended variations.


  • Collect, consolidate, and track Contractor progress reports and performance data, support monitoring and reporting obligations under the Contract.


  • Coordinate quality documentation including Inspection and Test Plans (ITPs), inspection records, and expediting status in collaboration with QA and Expediting functions.


  • Support review and processing of Contractor progress claims, ensuring completeness, contractual compliance, and timely submission for approval and payment


  • Maintain claims and variation registers; compile backup documentation and support the Contract Manager in assessment, negotiation, and formalization of claims and variations.


  • Support construction-phase contract administration including site meetings, tracking of site instructions, dayworks, site extras, and action follow-up.


  • Assist with administration of insurance and incident claims, including documentation, cost tracking, and coordination with insurers as directed.


  • Support interim completion, mechanical completion, turnover, defects liability administration, and preparation of final release and close-out documentation.


  • Maintain and update lessons learned records throughout the contract lifecycle and support close-out reporting.


Qualification:


  • Degree in Business, Engineering, Quantity Surveying, Law, or related discipline (or equivalent experience). 


  • Experience in EPCM or large capital project contract administration. 


  • Strong written communication skills, attention to detail, and proficiency in Microsoft Word, Excel, and PowerPoint.
