Responsibilities

Our newest opportunity is for a talented Document Controller to join our team,based in Madinah, Saudi Arabia. 


We envisage success in this role to include;


  • Previous experience working for a main contractor on large-scale construction projects.
  • Proven experience on mega projects within the construction or infrastructure sector.
  • Strong working knowledge and hands-on experience using Aconex as the primary Electronic Document Management System (EDMS).
  • Demonstrated experience managing document control processes within a construction consultancy or contractor environment.
  • Managing all project documentation in accordance with the project's Document Control Procedures and Quality Management System.
  • Administering and maintain the Electronic Document Management System (EDMS), ensuring all project documentation is accurately recorded, controlled, distributed, and archived.
  • Demonstrating advanced technical knowledge of document control systems, Common Data Environments (CDE), and EDMS platforms, particularly Aconex, with working knowledge of SharePoint considered advantageous.
  • Processing incoming and outgoing correspondence, technical submissions, transmittals, RFIs, shop drawings, material submittals, reports, specifications, and other project documentation.
  • Managing document workflows, approvals, revisions, metadata, document numbering, status codes, distribution matrices, and document registers in accordance with project procedures.
  • Monitoring document review cycles, overdue actions, pending approvals, and turnaround times, proactively following up with project stakeholders to ensure timely responses.
  • Plan, prioritise, allocate, and manage document control workloads effectively to support project milestones and delivery schedules.
  • Maintaining exceptional attention to detail when reviewing document titles, revision histories, attachments, workflow routes, numbering conventions, and distribution lists.
  • Producing regular document control reports, dashboards, registers, and key performance metrics for the project leadership team.
  • Supporting project teams, contractors, consultants, and client representatives in the correct use of Aconex and document submission procedures.
  • Ensuring all documentation complies with contractual requirements, client standards, project procedures, and quality management systems.
  • Identify process inefficiencies, document control issues, system gaps, and non-compliance, proposing practical solutions and continuous improvement initiatives.
  • Coordinating closely with engineering, commercial, construction, and project management teams to facilitate efficient information flow across the project.
  • Maintaining confidentiality, security, and integrity of all project documentation throughout the project lifecycle.

Qualifications

To be successful in this dynamic opportunity, we envision that your career journey to date will include 8/ 10 years work experience of which 5 must be in KSA or GCC countriespartnered with a Diploma or Bachelor degree in Business Administration or similar. 


A mix of contractor and consultancy background is mandatory.
