We are seeking a highly motivated and experienced Senior Administrator to join the Dean’s Office and provide strategic administrative and operational support to college’s academic and administrative functions. Job Summary The Senior Administrator will oversee the administrative operations of the Dean’s Office and support the effective management of the college’s administrative function. The role provides executive support to the Dean, ensuring the efficient delivery of administrative services, effective delivery of the administrative services, effective coordination across the college, and the smooth day-to-day operation of the Dean’s Office. • Full supervision of the Dean's office's daily operations. • Organizing workflow within the Dean's office to ensure efficient completion of tasks. • Managing incoming and outgoing correspondence. • Maintaining and organizing the Dean's schedule. • Coordinating internal and external meetings. • Arranging official visits. • Monitoring the implementation of the Dean's decisions. • Preparing a follow-up log for all assigned tasks. • Communicating with departments and administrations to ensure task completion. • Submitting periodic reports to the Dean on the percentage of completion. • Coordinating with the University administration. • Coordinating with the various college committees. • Monitoring deadlines for reports, approvals, and events. • Preparing meeting schedules and organizing files. • Follow up on the implementation of meeting recommendations. • Reviewing correspondence before presenting it to the Dean. • Ensuring all required documents are complete. • Following up on the signing and sending of letters to the relevant parties. • Receiving the Dean's guests and visitors. • Responding to inquiries received by the Dean's office. • Directing requests to the relevant departments. • Performing any other duties related to the nature of the work as assigned.


Minimum Qualifications:


• Minimum 5 years of administrative experience.


Experience/Skills:


• Advanced writing skills and the ability to conduct internal and external correspondence. • Report writing skills. • Knowledge of the principles and policies of transactions and administrative affairs. • Knowledge of methods for filing and archiving documents. • Knowledge of preparing formal and informal documents. • Leadership and team management • Problem-solving abilities • Attention to detail


Preferred Qualifications:


• Bachelor’s degree in Business Administration or related field. • Proficient in both Arabic and English is required. • Experience in a supervisory or senior administrative role is preferred. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Excellent communication and interpersonal skills. • Strong organizational and time-management abilities. • Ability to multitask and work under pressure. • Knowledge of office management systems and procedures. • Excellent written and verbal communication skills.
