Job Summary

We are looking for a highly organized and detail-oriented Shipping & Chartering Admin to support our commercial shipping and maritime operations in the UAE. The ideal candidate will have experience in shipping documentation, chartering administration, vessel operations, maritime contracts, corporate administration, and compliance. The role requires excellent coordination skills, document management expertise, and the ability to liaise with internal departments, external stakeholders, banks, auditors, and government authorities.



The successful candidate will play a key role in ensuring smooth execution of shipping operations, maintaining accurate documentation, supporting audits, and contributing to business development initiatives across the Middle East.



Key Responsibilities
  • Act as the authorized representative of the Group Company in the UAE for commercial shipping operations, vessel fixtures, and maritime transactions.
  • Prepare, review, execute, and coordinate Charter Party Agreements, shipping contracts, deeds, and other commercial shipping documents.
  • Ensure timely execution of vessel fixture documentation in compliance with company policies and authorization procedures.
  • Coordinate with ship owners, charterers, brokers, agents, and legal teams for documentation and operational requirements.
  • Affix the Company’s official seal/chop on authorized documents to ensure legal validity and compliance.
  • Maintain accurate records of charter agreements, vessel documents, commercial contracts, and corporate records.
  • Handle document submissions and collections with auditors, banks, company secretaries, and government authorities.
  • Assist with shipping administration, vessel documentation, port-related paperwork, and operational coordination.
  • Support audit processes by preparing required documentation and responding to auditor queries.
  • Maintain knowledge of the Danaos Shipping Management System and assist in generating operational and accounting-related information.
  • Ensure proper filing, document control, and record management in accordance with company policies.
  • Coordinate with internal departments including Operations, Finance, Commercial, Legal, and Administration.
  • Conduct market research and identify business development opportunities within the Middle East shipping and logistics sector.
  • Build and maintain professional relationships with clients, shipping agents, brokers, and industry stakeholders.
  • Prepare reports, correspondence, meeting minutes, and administrative documentation as required.
  • Perform any additional administrative or operational duties assigned by management.
Required Qualifications
  • Bachelor’s Degree in Business Administration, Shipping, Logistics, Maritime Studies, Commerce, or a related discipline.
  • 2–5 years of experience in Shipping Administration, Chartering, Maritime Operations, Logistics, or Vessel Operations.
  • Experience handling shipping documentation and commercial contracts is highly preferred.
  • Knowledge of Charter Party Agreements and maritime documentation will be an advantage.
  • Familiarity with the Danaos Shipping System or similar shipping ERP software is preferred.
  • Strong knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Excellent communication and organizational skills.
  • Strong attention to detail and document management skills.
  • Ability to work independently and manage multiple priorities.
  • Professional attitude with excellent interpersonal and coordination skills
