Introduction:


Aga Khan University's (AKU) Department of Community Health Sciences (CHS) is a preeminent public health institution in the country. The vision of the Chancellor set the direction for the University to take a lead in community development and the creation of an innovative curriculum that emphasizes a balance between patient care and population health. Over the past several decades, CHS has played a major role in leading the development of national level primary health care, public health practice, health systems through evidence-based approach. CHS has five major sections – Epidemiology & Biostatistics, Health Policy & Management, Population & Reproductive Health, Environmental-Occupational and Climate Change (EOHCC), and Non-Communicable Diseases & Mental Health.

Responsibilities:


You will be responsible to:    


  • provide administrative, operational, and coordination support for the effective functioning of the department
  • coordinate and monitor day-to-day departmental activities, ensuring timely completion of assigned tasks and smooth execution of operations
  • maintain accurate, organized, and confidential records, files, databases, inventories, and other departmental tracking systems in accordance with University policies and procedures
  • draft, prepare, and process routine correspondence, reports, requests for payment, and other departmental documentation, while following up with relevant departments for timely processing
  • facilitate effective communication and coordination with internal and external stakeholders, including faculty, staff, students, consultants, visitors, and service departments
  • assist in the planning, coordination, and implementation of departmental projects, meetings, workshops, events, and other initiatives
  • support departmental human resource and administrative function
  • ensure compliance with University policies, procedures, and applicable regulatory requirements
  • contribute to the continuous improvement of departmental systems, processes, and operational efficiency
  • perform any other duties and responsibilities assigned by the supervisor in support of departmental and University objectives.

Requirements:    


You should have:


  • Bachelor’s degree in any discipline
  • at least 1-2 years of relevant experience in a recognized organization 
  • knowledge of administrative procedures preferably within a health service organization
  • strong interpersonal, communication, and multitasking skills
  • efficient in MS office including Excel
  • fluency in written and spoken English and Urdu
  • ability to meet strict deadlines
  • ability to prioritize tasks efficiently
  • ability to handle office correspondence independently
  • good understanding of administrative processes and ability to liaise with other offices at the University
  • commitment to work on off days.
