Operational Duties


  • Manage the daily operation and monitoring of Asset management functions to ensure work is carried out as per agreed processes and SLA
  • Manage Fit-Out function as per agreed SLA - review & approve Fit-Out submissions, Fit-Out permits, Fit-Out inspections and issue Fit-Out Completion Certificate
  • Manage Property unit Handover / Takeover function as per agreed SLA
  • Respond and resolve business partners concerns and queries related to fit-out, permits, NOC, etc…, are resolved as per SLA
  • Manage system update with verified data (area, power allocated, FEWA account) of existing property units
  • New Project & Developments – Assist in project initiation, prepare design brief, sourcing consultant, design review and tendering activities.
  • Takeover new project upon completion, prepare property inventory of new developments and update the system
  • Define FM Scope, contract and contract administration.
  • Contribute to the process of identifying facilities management best practices and development of formal processes and practices as necessary towards integrating and embedding sustainable principles and strategies into daily operational practices
  • Assist the department head in the preparation of annual operation and capital budget, monitor budget and highlight budget variances to ensure cost efficiencies in line with the scorecard for OPEX saving and ensure execution of approved CAPEX project on timely manner.
  • Identify and recommend to the business unit and department head major improvements (technical and look & feel) required to enhance the existing facilities
  • Support the business development team in timely resolution of their queries related to Asset management in coordination with applicable internal departments
  • Represent the business unit during design, planning, construction, and handover stages of the newly developed assets
  • Review and certify service provider’s monthly performance and payment certificate
  • Ensure customer complaints are timely and appropriately managed and closed to achieve organization’s customer satisfaction targets
  • Monitor and maintain records of utilities expenditure and implement initiatives of sustainability and utilities cost saving projects
  • Providing preventive maintenance, site monitoring, and tracking environmental improvement projects in the Authority.
  • Develop systems, policies and strategies for asset and property management and implement them in cooperation with the various organizational units of the Authority.
  • Contributing to identifying and evaluating the Authority’s needs for facilities and buildings in coordination with the competent authorities, estimating their needs, and studying the equipment needs.
  • Supervising the optimal use of the Authority’s facilities and buildings, ensuring their level of efficiency, and improving, developing, and evaluating equipment.
  • Implementing the asset and property management system and inventorying, preserving, and organizing the Authority’s assets and property in the appropriate manner.
  • Developing mechanisms that contribute to the implementation of annual and surprise inventories of the assets and property of the Authority’s facilities and buildings.
  • Study and evaluate the performance of the Authority’s assets and provide appropriate recommendations to ensure their operational efficiency and increase their lifespan.
  • Auditing and monitoring the extent to which organizational units adhere to the policies and procedures approved by the Authority regarding assets and properties, and preparing periodic reports on the performance of assets and properties and the extent to which they meet the needs of the Authority.
  • Applying the asset and property destruction management system in an appropriate manner and coordinating with the concerned parties in implementing the necessary procedures.
