Charterhouse is partnering with a leading media and events company that is looking to hire a highly organised and proactive Executive Assistant to support the Managing Director in their Dubai office.
About the Role
The Executive Assistant will provide comprehensive administrative and operational support to the Managing Director, managing a complex schedule, coordinating international travel, preparing meetings, handling correspondence, and acting as a trusted point of contact for internal and external stakeholders.
Alongside executive support, the role will oversee the smooth day-to-day running of the Dubai office by managing office operations, budgets, suppliers, and leading the office support team while partnering closely with HR on workplace initiatives. The role will also support the planning and delivery of major events by coordinating travel, accommodation, hospitality, accreditations, and event logistics for internal teams, clients, and partners. The Executive Assistant will oversee ticket allocations and hospitality arrangements, ensuring all requirements are delivered seamlessly and in line with company procedures.
The role also requires the ability to respond to changing priorities, resolve last-minute scheduling and travel issues, and maintain the highest level of discretion and confidentiality.
About You
The ideal candidate will have 3–5 years' experience supporting a senior executive within a fast-paced environment, with previous UAE experience considered essential. Experience within the media and events industry would be highly advantageous. The candidate will possess strong communication and interpersonal skills, along with a proactive, solutions-focused approach and the ability to work independently. Advanced proficiency in Microsoft Office, as well as experience using travel, calendar, expense management, and office administration systems, is required, with the flexibility to support international travel and work across multiple time zones.
