Job Description

Position Summary


The Executive Assistant serves as a strategic partner to the CEO, providing high-level administrative, secretarial, operational, and personal support to ensure the efficient management of business and personal priorities. This role requires exceptional organizational skills, discretion, initiative, and the ability to anticipate needs while managing multiple responsibilities in a fast-paced environment.


The Executive Assistant acts as the primary point of contact between the CEO and internal/external stakeholders, ensuring seamless communication, effective coordination, and flawless execution of tasks, projects, events, and travel arrangements.


Key Responsibilities: 


  • Provide comprehensive administrative and executive support to the CEO and senior leadership team.
  • Manage and coordinate calendars, meetings, appointments, and executive priorities.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Prepare presentations, reports, correspondence, meeting materials, and executive briefs.
  • Manage incoming communications and ensure timely follow-up on action items and commitments.
  • Attend meetings, record minutes, and track progress on assigned actions.
  • Conduct research and prepare reports, analyses, and summaries to support executive decision-making.
  • Serve as a primary liaison between the CEO and internal and external stakeholders.
  • Coordinate executive events, board meetings, workshops, conferences, and stakeholder engagements.
  • Support cross-functional projects and strategic initiatives, ensuring timely execution and follow-up.
  • Maintain filing systems, records, databases, and administrative processes.
  • Monitor office requirements and coordinate with vendors and service providers when necessary.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Anticipate executive needs, proactively solve problems, and ensure smooth daily operations.
  • Perform additional duties as assigned by the CEO.
  • Willingness to accommodate after-hours commitments when required.
  • Availability to work on weekends as required to support business needs.
  • Flexibility to travel as required by business needs.
  • Willingness to take on additional responsibilities and support success as needed.

Qualifications

Qualifications & Experience


  • Bachelor's degree in Business Administration, Management, Communications, or related field preferred.
  • Minimum 2 years of experience supporting C-level executives, Chairmen, Founders, or Senior Leaders.
  • Experience in executive administration, office management, project coordination, or personal assistance.
  • Experience managing daily operation, complex calendars, travel arrangements, and stakeholder relationships.
  • Experience supporting high-profile executives is highly preferred.
